FlowNova Management Solutions ("FlowNova", "we", "us") respects your privacy and handles personal data with care. This policy explains what data we process, why, on what legal basis, and what rights you have. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and the Dutch GDPR Implementation Act (UAVG).

2. What data we process
We only process personal data that you provide to us yourself, or that is collected automatically when you visit our website. Specifically:
- Contact details you share when you email us or book a call: name, email address, phone number, company name and the content of your message.
- Booking details when you schedule an introductory call via our scheduling tool (Calendly): name, email address and the date and time you select.
- Technical and usage data collected automatically during a website visit: IP address (truncated/anonymised), device and browser type, pages visited, time of visit and referral source.
We do not process special categories of personal data, and our website is not directed at persons under the age of 16.
3. Purposes and legal bases
We process your data only for the purposes below, each on a valid legal basis under the GDPR:

4. Cookies and analytics
Our website uses cookies and similar techniques. We distinguish:
- Functional and necessary cookies required for the website to work properly. No consent is required for these.
- Analytics cookies (Google Analytics 4) which let us measure, in anonymised form, how visitors use our site so we can improve it. We only place these cookies with your consent.
You can refuse or delete cookies at any time via your browser settings. For Google Analytics you can also opt out via the Google Analytics Opt-out Browser Add-on.
We have configured Google Analytics in a privacy-friendly way: IP addresses are truncated and we do not share data with Google for advertising purposes.
5. Sharing with third parties (processors)
We never sell your data. We do use service providers that process data on our behalf. We enter into data processing agreements with these parties:

Some of these parties may process data outside the European Economic Area (EEA), for example in the United States. Where that happens, we ensure appropriate safeguards, such as the European Commission's Standard Contractual Clauses (SCCs). We may also disclose data where we are legally required to do so.
6. Retention periods
We do not keep personal data longer than necessary for the purposes for which it was collected:
- Contact and booking data: up to 24 months after the last contact, unless an assignment results from it.
- Assignment and administrative data: 7 years, in line with the statutory tax retention obligation.
- Analytics data: in line with the retention period set in Google Analytics (maximum 14 months).
7. Your rights
Under the GDPR you have the following rights regarding your personal data:
- The right to access the data we process about you;
- The right to rectification of inaccurate data;
- The right to erasure ("the right to be forgotten");
- The right to restriction of processing;
- The right to data portability;
- The right to object to processing based on legitimate interest;
- The right to withdraw consent at any time.
To exercise any of these rights, email info@flownova.nl. We will respond within four weeks. To prevent misuse, we may ask you to identify yourself.
8. Security
We take appropriate technical and organisational measures to protect your personal data against loss or unlawful processing, including a secure (SSL/TLS) connection, access restrictions and careful selection of processors. If you discover a vulnerability, please let us know at info@flownova.nl.
9. Filing a complaint
If you believe we are not handling your data carefully, please contact us first. You also always have the right to lodge a complaint with the Dutch supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
10. Changes
We may update this privacy policy from time to time, for example due to new legislation or changes to our services. The most current version is always available on this page. For material changes, we update the date at the top of this policy.
